Practice Calendar: Scheduling a New Task

The Practice Calendar can be used to schedule and manage appointments, tasks, or events. For the purposes of this instruction, scheduling an on-farm visit, in Day view is described. It is important, that the most relevant task is selected, as for e.g., when ‘TB test’ is selected, the reading will be added as a task, 72 hours later.

Steps to schedule a new task (in Day view):
  1. Navigate to PRACTICE → Calendar.
  2. Day view is the default view and syncs to time of day. You can select Day, Week or Month view to the top right-hand side. Week and Month view may be filtered by Vet name and Type of entry.
  3. Click on the New Task button to the top left of the screen or double-click within the Calendar to enter a New Task into the Day view.

Within the New Task window, enter a series of details to define the task:

  1. Free type a Title for your task.
  2. Select Client from the drop-down list or begin free typing client name to auto-find. The auto populated map to the right locates the farm. There also is the option to change the location of the farm by typing a new address.
  3. Select Task Type from the drop-down list. For the purposes of this instruction select On-Farm Visit.
  4. Specify Duration in minutes, hours, or days.
  5. Select Vet from the drop-down list. Note that the system defaults to the Vet who is logged in.
  6. Select Date/Time Scheduled. Click the Unscheduled button if unsure when the Vet will be on the farm. The unscheduled task is put in the Scratchpad (readily viewed to the right of your Calendar view) for when you are ready to schedule.
  7. Select Equipment to book out any items required for the task. Once booked for a specific date/time, the equipment cannot be booked again for the same slot. For help with adding Equipment, see under Managing an Entry in Diary Tasks below.
  8. Free type any Notes for the Vet.
  9. Select Management Groups, if set up for the farm. E.g., Heifers or Milking Cows. Management Groups can be set up elsewhere in VetIMPRESS.
  10. Click Yes if task is to be set as a Priority, e.g., it must be carried out.
  11. Click Yes if Repeat task and specify how often it is to be repeated, for e.g., for routine tasks.

The final steps, link the task within VetIMPRESS to FarmIMPRESS and the Farm Events calendar.

  1. Select Yes under Create Event only if you wish to link the task. You then have the option to set up an alert and determine how far ahead of the event you would like the farmer to be alerted.
  2. Select Yes if you wish to Alert Client and check box(es) to alert farmer by text (SMS) and/or email.
  3. Click Save to add the entry to your Practice Calendar.
